Compress PDF to 200 KB
A 200 KB maximum is common for multi-page documents like marksheets, category certificates and experience letters. This guide shows how to reach a 200 KB limit with the free PDF Compress tool, how to confirm the exact size, and how to keep small text readable.
Check your form's own upload screen before compressing. 200 KB is a common example, not a rule for every form, and portals differ on whether 1 KB means 1024 or 1000 bytes. Aim clearly below the limit.
Step by step: reach a 200 KB limit
- Keep the original PDF safe and work on a copy.
- Open PDF Compress and select or drop your PDF. The file never leaves your device.
- Enter 200 in the "Form maximum (KB, optional)" box so the result is checked against your limit (1 KB = 1024 bytes). This is a check, not an exact-size target.
- Start with the light setting. For multi-page marksheets and certificates, the light or middle preset usually keeps stamps and signatures readable.
- Download the -compressed.pdf and check its actual bytes/KB in file details.
- If it is still above 200 KB, retry from the original with a stronger preset, checking readability each time.
Compression turns each page into a photo, so text in the result cannot be selected or copied. That suits scanned certificates; keep the original if you need searchable text.
If 200 KB stays out of reach
- Split the document. A 6-page PDF under 200 KB may be impossible to keep readable; check whether the form accepts only the relevant pages and extract them with PDF Split.
- Crop empty margins with Crop PDF before compressing; large white borders waste the budget.
- Rescan at a moderate resolution. A 600 DPI scan is rarely needed for a form upload; 150-200 DPI usually reads fine.
- Compression can leave an already-optimized PDF about the same size or occasionally larger. The fix is a better source file, not repeated passes.
Verify before you upload
Read the smallest text and check every stamp and signature in the downloaded file. Use the portal preview after uploading and go back one preset if anything looks blurred. Keep the original and compressed copies until final submission.
